Privacy notice

This notice explains how GND Estate Limited collects, uses and looks after personal data when you use our website, request a viewing, or deal with us about a rental home.

Effective 17 October 2026Last updated 17 October 2026
01

Who is responsible

GND Estate Limited (company number 15919540) is the controller of personal data described in this notice. Our registered office is 157 City Road, Birmingham, England, B16 0NW. If you have a privacy question, write to us at that address marked “Data protection”.

We may share data with landlords, referencing agencies, deposit schemes, contractors and professional advisers where that is necessary for a viewing, application or tenancy. Those organisations may be controllers in their own right for the work they do.

02

Data we collect

  • Identity and contact data: name, email, telephone, and any message you send.
  • Enquiry data: properties you are interested in, intended occupants, pets, budget and preferred move-in date.
  • Application data (if you proceed): address history, employment or income information, Right to Rent documents, guarantor details, and referencing outcomes.
  • Technical data: IP address, browser type, pages viewed and cookie identifiers, as described in our Cookies notice.
  • Correspondence: emails, call notes and viewing attendance records.

We collect this from you, from your use of the website, and, if you apply, from referees, credit and identity providers, and publicly available sources where the law allows.

03

How we use it

We use personal data to respond to enquiries, arrange viewings, assess applications, perform Right to Rent and anti-fraud checks, manage a tenancy instruction, improve the website, and meet legal duties.

  • Contract or steps toward a contract: handling your viewing request or application.
  • Legitimate interests: running a lettings business, keeping records, preventing fraud and abuse, and defending legal claims — balanced against your rights.
  • Legal obligation: Right to Rent, tax, accounting, and responding to regulators or courts.
  • Consent: where we ask for it, for example optional marketing. You can withdraw consent at any time.
04

Who we share it with

  • The landlord or their representative for the property you enquire about.
  • Referencing, identity and anti-money-laundering providers.
  • IT, hosting, email and analytics suppliers who process data on our instructions.
  • Deposit protection schemes, inventory clerks, contractors and insurers where a tenancy proceeds.
  • Police, immigration, HMRC or regulators where we are required or permitted to disclose.
05

How long we keep it

Enquiry and viewing data is kept only as long as needed to deal with the request and for a short period afterwards (typically up to 12 months) unless you become an applicant or tenant. Application, tenancy and accounting records are kept for the period required by law and our insurers, often six years after the end of the relationship. Right to Rent copies are kept as the Home Office requires.

06

Your rights

UK data protection law gives you rights to access, correct, erase, restrict or object to certain processing, and to data portability in some cases. You may also complain to the Information Commissioner’s Office at ico.org.uk. We may need to confirm your identity before we act on a request.

07

Transfers and security

Our tools may store data on servers in the UK, EEA or other countries. Where data leaves the UK we use a lawful transfer mechanism such as adequacy regulations or standard contractual clauses, plus appropriate security (access controls, encryption in transit where we control the channel, and staff confidentiality).
